Definition

Account Maintenance is the heavily automated integration sequence executed simultaneously within the Invoicing job run that dynamically clears an account’s open lines (like cash security deposits or loose credits) against the debt freshly generated by the invoiced bill.

Business Purpose and Architecture

Forcing a customer to manually call and request that a $100 overpayment on their account be applied to their $110 new bill is poor service. Architecturally, selecting the Account Maintenance option inside the Invoicing parameters invokes this auto-settlement. During Final Billing(Move-Out), the maintenance logic specifically targets held security deposits. It mathematically liquidates those restricted funds through the Clearing Control matrix, wiping out remaining customer balances completely before ultimately printing a fully mathematically reconciled $0.00 Final Invoice.
